Vendor Terms
For businesses listing in the UNIT LIST vendor directory · Last updated: September 2026
1. What a vendor listing is
A vendor listing is a page in the UNIT LIST directory for a business that supplies productions — equipment, vehicles, services, facilities and the rest. It carries your business name, your trade, your location, a photograph, whatever you choose to write about yourself, pictures of your work, and the contact details you enter.
Your page is public. It can be read by our members, free and paying alike, and by anybody who visits unitlist.co.uk without an account. That reach is the point of the listing. It also means search engines may index it.
A listing is not an endorsement, a recommendation, or a statement that we have checked your work, your insurance or your qualifications. We do not read or approve listings; what yours says is your own statement about your own business. The one exception is a verified mark, which is ours — see section 4.
2. Setting up, and publishing
Anybody can set up a vendor listing. You create an account, build your page — from your own website if you have one, or by hand — pay for the year, finish it off, and then you publish it yourself.
Nothing you put here is public until you press publish. There is no review and no queue: we do not read your page, approve it or refuse it. Your listing appears in the directory at the moment you publish it, and not before.
You can change it whenever you like, and take it down yourself. Edits to a page that is already live show straight away — they do not come back to us for checking. Taking your page down does not cancel your subscription or delete anything: your listing stops being public and you can put it back the same way.
You agree to these terms by setting up your listing, in the same way you agreed to our Terms of Service by signing up. We keep a record of when you did.
You pay when you set the listing up. The fee — the figure you are shown on the page where you pay — is taken at that moment. Paying is not publishing: a paid listing that you have not published is not visible to anybody.
3. What it costs, and refunds
A listing is CA$945 a year — one price, for up to 6 categories and 6 bases. You are told what it costs on the page where you enter your card, before anything is charged.
Whichever it is, it runs for 12 months and renews automatically until you cancel. There is no trial period for vendor listings.
If we change this price, yours does not change. The price you signed at is the price that renews, for as long as you stay listed. We would have to ask you, and you would have to agree, before you were charged anything different.
A category is a heading in the directory that a production can filter to. If you are listed under more than one, you appear under each of them; if you later want more than your listing covers, write to us.
Your card. It is stored by Stripe and not by us, and it is kept so that your listing can renew next year. You can change it or stop the renewal yourself from your listing page at any time.
We will email you 30 days before each renewal, telling you what will be taken, from which card, and on what day. If your card will have expired by then, that email says so too.
You can cancel at any time. Cancelling stops the next renewal; your listing stays live until the end of the year you have paid for, and then stops being public. We keep the page itself, so if you come back you do not start again. We confirm a cancellation by email, with the date your listing stays live until.
Refunds. A year that has been listed is not refunded pro-rata, and a listing we take down under section 7 is not refunded. If you have paid and have not published, or something has gone wrong, write to admin@unitlist.co.uk and we will sort it out with you.
If a renewal payment is refused — usually a card that has expired since last year — we will tell you, and your listing stops being public until the payment goes through. Nothing is deleted: the page comes straight back when it does, without your having to publish it again.
Sign-up and payment happen on unitlist.co.uk in a web browser, not in our phone apps. Once you are set up you can install the apps and sign in with the same details.
4. What you are responsible for
Everything on your page is yours: that it is accurate, that it is yours to publish, and that it stays true. In particular you confirm that you have the right to use the photographs you upload, and that anything you say about certification, insurance or capability is correct.
If we built your page from your website, what it says is still yours. We may suggest wording, and we may rewrite what is on your site into the shape a listing takes — but a suggestion is a starting point, not a checked fact, and nobody here reads it before it goes live. Before you publish, read your page through and correct anything that is wrong, out of date, or simply not how you would put it. Once you publish it, it is your statement about your business in exactly the way a sentence you typed yourself would be.
You must not use a listing to advertise a business other than the one listed, or to publish anything unlawful. Apart from the people you name on your page under section 6, you must not use a listing to publish anybody else’s contact details.
Marks we verify ourselves. Some claims we check rather than repeat. Where your page shows a verified mark — insurance in force, a company registration, a listing on somebody else’s register — it records that we saw evidence of it on a date, and it comes down on the expiry date we record against it unless you send us a current one. You cannot add a mark yourself. You must tell us if something we have verified stops being true, and we may take a mark down at any time. A mark is a record of what we saw; it is not a warranty by us about your business, and anybody relying on it should satisfy themselves in the usual way.
5. Building your page from your website
If you give us your website address, we will read it and build you a draft listing from what is on it. We fetch your home page and up to five more pages on the same domain, we read the words on them, and we use them to write a first version of your page.
You are telling us to do this and you can decline it. Nothing is read until you give us the address and press the button, and you can build your page by hand instead. We identify ourselves to your website as UNIT LIST when we read it.
There is a limit on how many times we will do this. Reading a website and writing a page from it costs us money, so each listing gets a set number of goes. The screen tells you how many you have left before you use one. Building your page by hand is free and unlimited, and a page built by hand looks exactly the same to a production as one built from a website.
A go is only used up when it works. If your site is down, or blocks us, or has nothing on it we could use, nothing is counted against you — and if something goes wrong at our end after we have counted one, we put it back.
What comes back is a draft, and it is yours to change. We do not publish anything from your website. Every line we produce sits on a review screen until you accept it, field by field, and what you accept becomes your text on your page under section 4. We may rewrite how your website says something; we do not add a fact your website does not carry.
The permission you are giving us. By giving us the address you grant UNIT LIST a non-exclusive, royalty-free licence to fetch, copy, store, analyse and adapt the content of that website for one purpose only — producing, showing you and hosting your listing — and to let the service providers who host and run UNIT LIST do the same on our behalf. It lasts as long as your listing does and it covers nothing else. We will not use your website’s content for any other purpose, sell it, or give it to anybody but those providers.
And what you are confirming. You confirm that the website is yours or that you are authorised to act for whoever owns it, and that the text, pictures and logo on it are yours to let us use in this way. If something on it belongs to somebody else — a production’s artwork, a client’s logo, a photograph you licensed for your own site only — it is not covered, and you should not accept it onto your listing. If we have taken something we should not have, tell us and we will remove it.
Other people’s names on your website. A contact or team page names real people. We do not publish anybody from your website: a name only reaches your listing if you add it yourself under the next section, where you confirm that each person has agreed to appear. The people named on your website are covered by our Privacy Policy, and any of them can write to us and have their details taken out, whether or not you ask.
What we keep, and for how long. We keep the address you gave us, the date we read it, how much text we found and a fingerprint of it, so we can tell you where a line on your page came from, for as long as your listing exists. We keep the text of the pages we read with your account, and it is deleted when you delete your account. That is longer than it needs to be and we are shortening it; when a fixed limit is in place we will state it here rather than promise it now. Reading your website again later replaces what we hold.
You publish your listing and it is your page. We build you a draft; you decide what it says and you are responsible for it under section 4, exactly as if you had typed every word. A draft we built is not a statement by us that anything on it is true, and it is not a check of your website.
6. The people you name on your page
Your listing may include the people at your business a production can contact: a photograph, a name, a job title and an email address for each of them. You may list up to twelve people.
These are other people’s personal details, and publishing them is your decision, not ours. By saving them you confirm that each person has agreed to appear on your listing, that they know their details will be visible to anyone on the internet including people without a UNIT LIST account, and that you will remove anyone who later asks you to. You must tell each of them that their details are published here and that we hold them. We record the date you last confirmed this, and the section does not appear on your page at all unless we hold that confirmation.
Anyone whose details appear on your listing may write to admin@unitlist.co.uk and ask us to remove them. We will do so, and we do not have to ask you first.
If we are told that somebody was listed without their agreement, we may remove that entry, or the whole section, without notice. Repeated instances are grounds for us to end your listing under section 7, and we do not refund on that basis.
7. Taking a page down
We can suspend or remove a listing if it is inaccurate, if it breaks section 4 or 6, if the business stops trading, or if we receive credible complaints about it. Where we reasonably can, we will tell you first and give you a chance to put it right.
If we remove a listing part way through a paid year for a reason that is not your fault, we will refund the unused part of the year.
8. Contacting crew
A vendor account cannot start a conversation with a crew member. Crew can message you, and you can reply to them. This is deliberate and it is enforced by the platform rather than by policy: the directory exists so that crew can find you, and it stops being useful to them the moment it becomes a route for unsolicited approaches.
A vendor listing does not give you access to crew contact details, and it is not a mailing list.
9. Enquiries we pass to you
People can send you an enquiry from your listing without having a UNIT LIST account. We do not check who they are, any more than we check who rings the number on your page — treat an enquiry as you would any other unsolicited approach.
When we pass you somebody’s details, what you do with them afterwards is your responsibility. You may use them to answer the enquiry. You must not add them to a mailing list or use them for anything else without that person’s agreement.
We keep a copy of each enquiry for twelve months so that you can see who has been in touch, and then we delete the sender’s details and keep only the fact that an enquiry was made.
The form is in addition to the contact details on your listing, not instead of them. Your published email address and phone number stay exactly as you entered them, anybody contacting you directly reaches you directly, and we do not charge for, meter, or take a share of any work that follows.
10. Your data
We hold your account details, your listing, and a record of your payments. The contact details on your listing are published because that is what a listing is for; the email address you sign in with is never published.
Payments are processed by Stripe and we do not hold your card details. What we hold is the brand and last four digits of the card, so you and we can both see which card is about to be charged, and Stripe’s reference for you as a customer.
How long we keep it. Your listing and everything on it — including the people you name under section 6 — is kept while your account is open, and is deleted when you delete your account. The record of what you paid and when is kept for six years, because our tax and accounting obligations require it. You can ask us for a copy of your data, or to delete your account, at any time — see our Privacy Policy.
If we read your website. We keep the address, the date, the size and a fingerprint of what we read for as long as your listing exists, so we can answer where a line on your page came from. The text of the pages themselves is kept with your account and is deleted when you delete your account — that is longer than it needs to be, we are shortening it, and we will state a fixed limit here once one is in place. Your logo, if we took one from your site, is a copy on our own storage and is part of your listing.
11. Changes to these terms
If we change these terms in a way that materially affects you, we will tell you before your next renewal, so that you can decide not to renew.
